Booking

How booking works — five steps

Every trip follows the same clear process, so you always know what to expect — and what to have ready before you reach out.

Five Steps from Your First Call to a Safe Arrival

1
Tell us about the trip

Call (847) 585-8888 or send a request online. We listen and ask the right questions — the client’s mobility needs, any equipment such as oxygen, the appointment, and anything that affects a safe, comfortable transport — so every trip starts prepared.

2
We confirm and reserve

We match the right vehicle and a care-ready Transportation Specialist, take a card on file with a pre-authorization to confirm the reservation, and send you confirmation by text and email — so it’s locked in well before pickup.

3
Door-through-door pickup

Your uniformed Transportation Specialist — in a Rainbow Road Transport sky-blue polo and branded vest — arrives within the pickup window and comes inside to get you, then secures the wheelchair with four-point tie-downs and seat belts before the van moves. Please have the client already seated in their wheelchair — our Specialists can’t transfer a client from a bed, or from one chair to another, into the wheelchair.

4
Cared for, and kept informed

A calm, securement-safe transport with a team trained to care, not just drive. You and your family get text reminders and driver-status updates, plus a live tracking link to follow the van in real time — so no one is ever left wondering where the van is.

5
Safe arrival and return

We see the client all the way to the door at the destination and confirm a safe hand-off. For round trips the return is normally will-call — call us when the appointment is done and we come back. Prefer not to wait? Add the optional Wait & Return service so your Specialist stays nearby.

What to Have Ready Before You Book

Having these handy makes the call quick and the trip smooth:

  • The client’s full name and date of birth
  • Approximate height and weight, so we send the right vehicle and equipment
  • Date and time of the appointment
  • Pickup and drop-off addresses — plus the unit or room number if at a facility
  • Appointment details — facility or doctor name, phone, and suite if available
  • Approximate return time, if known, for round trips
  • Mobility and equipment needs — ambulatory, wheelchair, bariatric wheelchair, or Stretcher-Alternative; oxygen, feeding tube, and so on
  • Anything we should know to keep the client safe and comfortable
  • Payment — a debit or credit card to put on file, the billing address, and an email for the receipt
No email address?

Just let us know — we can mail a printed receipt instead.
