These terms govern Rainbow Road Transport's ground non-emergency medical transportation services. Arrangements for the Flight Nurse Companion service are handled separately — ask us for the applicable terms when you book that service.
About These Terms
These terms cover two things: your use of rainbowroadllc.com, and the transportation we provide when you book with us. Using this website means you accept the website sections. Booking a transport — by phone, by email, or through a request on this site — means you accept all of them.
When you reserve a trip we send a booking agreement to complete. It carries these same terms; this page is the version you can read at any time, before you book and after. Whoever makes the booking confirms they have the authority to agree to it, and is responsible for everyone traveling on that booking.
Using This Website
You are welcome to browse this site, print or save pages for your own use, and share links to it. Please do not use the site to break the law, to interfere with how it runs, to scrape or copy it for a competing service, or to attempt access to any part of it that is not public.
We may change, suspend, or withdraw any part of the site at any time. We work to keep the site available, but we do not promise it will always be reachable or free of errors.
Quotes, Availability, and Booking Requests
Prices, availability, coverage areas, and service descriptions on this site are for information. They are not an offer, and a figure shown or generated here is an estimate rather than a final price — the price of a trip depends on the level of service, distance, timing, equipment, and any charges described below.
Submitting a booking request on this website does not confirm a trip. A reservation exists only once we confirm it with you and a valid card is on file, as set out under Billing.
No Medical Advice — And Emergencies
Nothing on this website is medical advice, and reading it does not create a clinical relationship. Decisions about the right level of transportation should be made with the treating provider.
Rainbow Road Transport provides non-emergency transportation only. We are not an ambulance service and we do not provide emergency medical care. In an emergency, call 911.
Billing
A valid credit card must be on file at the time of reservation, and a pre-authorization is placed at booking. A reservation is not confirmed without a card on file and a valid pre-authorization. Any uncollected balance is payable to the Transportation Specialist before service, and all balances are due on the day of service.
Cleaning and Damages
You are responsible for cleaning and damage charges, with the following minimums:
| Situation | Minimum Charge |
|---|---|
| Extensive cleanup (spills) | $150 |
| Shampoo and disinfecting (sickness) | $175 |
| Each act of vandalism | $300 |
| COVID-positive cleaning | $50 |
These charges are applied to the card on file. If they cannot be collected, payment is due within seven days, and you are responsible for any collection costs and attorney's fees.
Drugs, Alcohol, Smoking, and Food
Alcohol and illegal substances are not permitted. Smoking is not permitted in the passenger compartment. Eating in the passenger compartment is not permitted. Violations are charged at the vandalism rate above.
Rescheduling and Cancellations
Cancellation and rescheduling terms are set out in full on our cancellation and rescheduling policy page. In summary, rescheduling to a new date carries no cancellation fee until the driver is en route or pickup is within 1 hour; cancelling without rescheduling is free more than 24 hours before pickup, and a fee applies inside 24 hours; and a no-show without cancellation is charged in full.
Overtime and vehicle availability cannot be guaranteed for rescheduled trips. Rainbow Road Transport may terminate service for violations of these rules, without refund.
Holidays
Reservations on the following holidays are billed at 1.5×: New Year's Eve, New Year's Day, Easter Sunday, Memorial Day, Independence Day, Labor Day, Thanksgiving, Christmas Eve, and Christmas Day.
Overages, Stops, and Waiting Time
- Overtime and transfers are billed in 30-minute increments at the published rate.
- Extra stops on a pick-up/drop-off booking are charged between $25 and $50 each; stops of 15 minutes or less may instead be billed at the hourly or waiting rate.
- Waiting time may be billed for extended waits. Call us at (847) 585-8888 for current rates before your trip.
- Where a round trip returns on a will-call basis, the wait after your appointment may be up to 60–90 minutes during peak times. We will do our best to collect you as early as possible.
We are not responsible for delays caused by weather, traffic, or road conditions, and we are not liable for mechanical breakdown, though we will make up time where we can. We may substitute a vehicle of equal or greater capability.
Pickup and Drop-Off
A no-show without a call is charged in full. A deadhead charge of $1 per mile applies where the location is more than 15 miles from our garage; this is waived on hourly bookings.
Seating Capacity and Equipment
Vehicles may not be overloaded. A client with cognitive impairment requires an escort, or sitter fees apply. One additional passenger assisting the client travels free. Medical equipment — including oxygen and feeding tubes — must be disclosed at the time of reservation so the correct vehicle and Transportation Specialists are assigned.
Service Level Changes (Downgrades)
A downgrade is a client-initiated change from a higher level of service (stretcher or Stretcher-Alternative) to a lower one (wheelchair or ambulatory) after a reservation is confirmed. Because specialized equipment, staffing, and preparation have already been committed, a downgrade is treated as a partial cancellation.
- The downgraded service is honored at the new level's rate, subject to availability.
- Standard cancellation timeframes do not apply to downgrades.
- A downgrade inside 24 hours of pickup is charged at the greater of $250, or 50% of the original booked rate plus the full charge for the new downgraded service.
- Pre-authorized or paid amounts may be captured.
- Downgrades are not guaranteed, as they depend on availability.
- We may waive or modify these charges for documented medical necessity or safety.
Transportation Specialists
Our Transportation Specialists are responsible for transporting you safely. We ask that they be treated with respect.
Protected Health Information
We collect only the health information necessary to transport you safely. It is not shared except for legal compliance or to fulfill your service, is stored securely with restricted access, and our staff receive HIPAA training. We do not sell or share PHI for marketing. You may request access to your PHI, ask for corrections, and request an accounting of disclosures by contacting privacy@rainbowroadllc.com. Full details are in our privacy policy and Notice of Privacy Practices.
Liability and Indemnification
Rainbow Road Transport is not liable for personal injury, medical complications, or loss of personal property during transport. You agree to indemnify and hold Rainbow Road Transport harmless from claims arising out of the use of our services.
Payment Authorization
Giving us a card at booking authorizes Rainbow Road Transport to store it securely through Stripe and to charge it for that trip and for later ones — reservation fees, services, incidentals, and taxes. A temporary pre-authorization may be placed, and the final charge may differ according to the services actually rendered. Release of a pre-authorization hold can take 7–10 business days; if it has not cleared after that, contact your issuing bank. Please keep your payment information current.
We never take card details through this website. Payment is arranged when you book — with an agent on the phone, or through a secure Stripe link we send you by text or email. See section 6 of our privacy policy for how each of those works.
Communications from Us
When you give us a phone number or email address, you agree that we may use them to run your transportation — confirmations, reminders, arrival notices, dispatch updates, billing, and replies to what you asked us. Message and data rates may apply. Service messages of this kind are not marketing, and continue while you have a trip with us; you can opt out of marketing messages at any time without affecting them. Calls are handled on a recorded platform, as described in our privacy policy.
Content on This Site
The Rainbow Road Transport name and logo, and the text, photographs, illustrations, and design of this website, belong to Rainbow Road Transport, LLC or to the people we licensed them from. You may print or save pages for your own use and link to them freely. Republishing, selling, or reusing them commercially needs our written permission first.
Links and Embedded Tools
This site links to other organizations, and some pages carry tools operated by our service providers — including a booking and quoting tool, mapping, and payment checkout. Those are run by third parties under their own terms and privacy practices, and we are not responsible for their content. If a tool on this site will not work for you, call us at (847) 585-8888 and we will complete it with you over the phone.
Website Disclaimer
We keep this website as accurate and current as we can, but it is provided as it is. We do not warrant that it will be uninterrupted, error-free, or free of anything harmful, and we are not liable for loss arising from reliance on the website itself. This does not limit our obligations for the transportation we actually provide, which are set out above.
Governing Law
These terms are governed by the laws of the State of Illinois, without regard to its conflict-of-law rules. Any dispute arising from them or from our services is to be brought in the state or federal courts located in Illinois. If any part of these terms is held unenforceable, the rest continues to apply.
Changes to These Terms
Rainbow Road Transport may update these terms at any time. Updates are posted on this page and take effect immediately, so it is worth reading them before you book. The effective date at the top of the page tells you when this version was published.
